Becoming a Driver

Most students, faculty and staff are eligible to become an Authorized Driver of college and state owned vehicles.

How to Become an Authorized Driver

You must be an authorized driver before you can use any vehicle from the college fleet or from the WA State Motorpool fleet. If you are involved in a crash with a college vehicle and are found at fault, the college may revoke your use permit or if you otherwise become ineligible to drive a state vehicle.

Students need faculty/supervisor permission to become an authorized driver. Have your faculty, supervisor, or Student Activities advisor send motor pool an email ahead of time.

Steps to Become an Authorized Driver

  1. Sign Up to become an authorized driver on Evergreen Agile Motorpool Management
    1. Click on "Sign Up Now" in the left hand side navigation bar and fillout the form, including all required fields
  2. Complete the Fleet Motorpool Driver Canvas Course
  3. Once you have signed up AND completed the Canvas Course, you will receive a Welcome Email containing your Evergreen Motorpool login credentials
    1. Follow the link in your Welcome Email to review your profile, update any information needed, and accept and acknowledge the Fleet Motorpool policies
  4. You will also receive an email from WA State DES Fleet Operations with a welcome email to their motorpool system
    1. Activate your WA State DES Fleet Operations profile from their welcome email
  5. You are now ready to drive

You will periodically be required to review and update your driver profile so Evergreen Fleet Motorpool can maintain up to date records (ie, your license expiration date, current program/department, etc.). You must also annually agree to the current policies and acknowledge you are eligible to drive state vehicles and follow safe driving practices and procedures.

Driver Requirements

To be eligible for a permit, you must meet all of the following conditions:

  • Valid U.S. driver’s license
  • 18 years old or older
  • Two or more years of fully licensed driving experience
  • Clean driving record, with none of the following within the past (2) years:
    • any suspension/revocation of license for reckless driving, hit and run, leaving an accident scene, failure to appear, DUI or other vehicle-related felony;
    • or for multiple traffic offenses (2 moving violations/infractions in 12 months, 3 moving violations/infractions in 24 months) resulting in a Conditional Status driving record or subsequent suspension/revocation of license
  • Agree to advise supervisor/faculty member by the next business day if legal status to drive state vehicles changes
  • Review and agree to follow the WA State Department of Enterprise Services Enterprise-Wide Transportation Policy, Evergreen Motorpool Policy, Evergreen Travel Policy, and associated documents that pertain to the authorized, safe, and efficient operations of vehicles used on state business and to follow applicable policies and procedures, including use of vehicles for official state business only
  • Comply with Enterprise-Wide Transportation Policy Procedure 3, Van Management

Driver Responsibilities

Due to the limitations of the state's self-insurance plan, you may want to check with your own personal automotive liability insurance to see if you are covered while driving a Motor Pool vehicle.

You are expected to drive defensively, be courteous, and obey all traffic laws. Additionally, you are required to:

  • Restrict passengers to employees, students of the college, or other people on official college business
  • Make sure that everyone in the vehicle uses a seat belt while the vehicle is moving
  • Make sure that no one smokes or consumes alcohol in the vehicle
  • Lock the vehicle when not in use
  • Pay any traffic or parking fine resulting from driver negligence
  • Check oil and water levels regularly when on overnight trips
  • Report all accidents and damage to the vehicle to the Motor Pool office immediately
  • Complete all required accident reports and turn them in to the Motor Pool office
  • Return vehicles to the appropriate location on time and in a clean and presentable condition with gas tank refilled
  • Notify the motor pool office if the vehicle cannot be returned on time
